# HOA Fence Approval Checklist for Northeast Florida Homeowners

If you live in an HOA community and want a fence, the application usually needs five things: your community’s fence standards, a property survey, a site plan marking the fence line, the material and color spec, and your contractor’s information. Gather those before you submit and the process runs weeks faster than figuring them out one rejection letter at a time.

Communities like Nocatee and World Golf Village run active architectural review boards, and every neighborhood’s standards differ, sometimes street by street within the same development. Here is the checklist that keeps an application clean.

The Pre-Application Checklist

1. Pull your community’s actual fence standards. Not the rumor version from a neighbor, the current written standards from your HOA portal or management company. Look for approved materials, approved colors, maximum height, required setbacks from property lines, and whether the finished side must face outward. Standards change, so get the current document even if you have seen an older one.

2. Find your property survey. The survey from your closing packet shows your true property lines and recorded easements. Review boards almost always require it, and it protects you from building on a line that turns out to be somewhere else. Cannot find it? Your closing agent or a new survey solves it.

3. Mark the fence line on a site plan. A copy of the survey with the proposed fence drawn on it, gates marked, is the core of the application. Note where the fence ties into the house and any existing neighbor fences.

4. Specify material, color, and height exactly. “White vinyl privacy fence, 6 feet” beats “vinyl fence.” Attach the manufacturer spec sheet or a photo of the exact style. Boards reject vagueness more often than they reject fences.

5. Include your contractor’s license and insurance. Many boards require proof the installer is licensed and insured. A contractor who cannot produce both quickly is telling you something.

Common Reasons Applications Bounce

The same handful of issues cause most rejections: fencing forward of the front building line where only rear fencing is allowed, an unapproved color or material for that community, missing survey, fence drawn over a drainage or utility easement, and finished-side-in when the standards require finished-side-out. Every one of these is checkable before you submit.

Easements deserve special attention in newer developments across St. Johns and Clay counties. A fence built over a drainage easement can be ordered removed at your expense even after it was approved, because easement holders’ rights outrank the HOA’s approval. Your survey shows the easements; take them seriously.

HOA Approval Is Not the Only Approval

The HOA sign-off covers your community’s private rules. Local permitting and zoning rules apply separately, and where a permit is required, it is required whether or not the HOA approved the fence. A contractor who works your area regularly will know what your jurisdiction expects and handle the sequence properly: HOA approval first, then permitting, then installation.

Frequently Asked Questions

How long does HOA fence approval take?

Most boards meet monthly and quote review windows of a few weeks. A complete application typically clears in one cycle; an incomplete one loses a month per missing item. The checklist above is how you make it one cycle.

Can the HOA dictate my fence material and color?

Within your community, effectively yes. Covenants you accepted at purchase give the association authority over exterior changes. Fighting an established standard is usually a losing trade; picking the best fence within the standard is the winning one.

What happens if I build without approval?

Fines, escalating letters, and in real cases an order to remove the fence at your cost. No fence project saves enough time skipping approval to risk paying for the same fence twice.

Our new fence is amazing! Dylan came and measured for an aluminum fence along the lake line and a white fence in the front that connected with our neighbors. The fencing was erected in one day. Dylan showed great attention to detail and made sure all of the slats were symmetrical. He was prompt, professional and very nice. When he was done he had me walk the perimeter to show me his work and to make sure I was satisfied. I would enthusiastically recommend Jax AA Fencing to anyone in need of a quality fence!

I wanted to get my fence extended to have access to the side faucet of the house. The estimate was reasonably priced and every step along the way was very professional, and they kept in touch while waiting for the HOA approval. When my HOA finally approved the project we got everything scheduled in a timely manner. On the day of install it was super quick and done before I knew it. I highly recommend them for service and any future fencing needs.
